Keep a shared gift note for the family

Set up the note

Create a shared note in Apple Notes, Google Keep, OneNote, or the notes app your family already uses. Give it a clear name like Family gifts, share it only with the adults who help plan, and allow the right people to edit it.

Add one small section per person: clothing sizes, favorite colors, hobbies, current wishes, things they already own, and clear no-go items. Only add addresses or personal details if they truly belong there and everyone with access should see them.

Capture ideas immediately

Good gift ideas usually appear when nobody is shopping. If someone casually mentions that their headphones are annoying, a hoodie is too small, or a specific game looks interesting, write it down right away.

Use simple labels such as idea, bought, reserved, and do not buy. That prevents duplicate gifts and shows you what is still open before an occasion.

Keep surprises safe

Do not share the note with children or with anyone whose surprise gifts are listed inside it. Also check whether details like sizes or preferences really need to be visible to every collaborator.

For a larger family, create separate notes by household or occasion. That keeps the list easier to maintain and reduces the chance that someone sees their own gift idea.

Use a tiny template

Four lines per person are enough: sizes, interests, ideas, and no-go items. Add a short shopping status underneath. Keep it simple, because a system that is too detailed will stop being used.
