Block travel time in your calendar

How to set it up

After every appointment outside your usual place, add a separate calendar block for the trip, the return journey, or the handover to the next task. Use plain titles such as Travel, Return trip, or Transition so you can read your day at a glance. Mark the block as busy, not just as a note, otherwise that time will be booked over later.

If your calendar supports travel time, add the event location as well. The app can then estimate the trip more realistically and remind you before you need to leave. Still use your own judgment: parking, kids, bags, bad weather, or an unfamiliar entrance often need more margin than the route itself.

Why it helps

A calendar usually shows meetings, calls, pickups, and appointments. Your day also contains packing your laptop, finding your car, catching a connection, walking through a building, and mentally switching context. When that time stays invisible, the day looks possible even when it is not.

A visible travel block makes the plan more honest. You can immediately see whether two commitments really fit together or only look fine on paper. That reduces rushing and stops you from accepting slots that you can only keep with stress.

Useful rules of thumb

For a familiar short route, a small transition block may be enough. For external appointments, new locations, or family days with tight pickups, add a bigger buffer. If you often leave too late, do not plan for ideal conditions; plan for how your day actually works.

Do not overplan every tiny movement. This tip is strongest on days with several appointments, routes, or handovers. That is where a blocked buffer protects your calendar from wishful thinking.
